When Amazon Sellers Need to Issue Invoices

Amazon does not issue VAT or sales tax invoices on behalf of third-party sellers. If you sell on Amazon, you are responsible for providing a valid invoice to buyers who request one — and many B2B buyers (Amazon Business customers especially) request invoices for every order.

You must provide an invoice when:

  • An Amazon Business buyer requests one for reclaiming VAT
  • You are VAT-registered and selling to EU or UK businesses
  • Your local tax authority requires invoices above a threshold (e.g., €100 for B2B in many EU countries)
  • The buyer is in another EU country and the reverse charge mechanism applies

Failing to provide a valid invoice when required can damage your seller metrics — Amazon includes invoice defect rate (IDR) as a performance metric for Amazon Business sellers.

Required Fields on an Amazon Seller Invoice

A compliant Amazon seller invoice must include:

  • Your seller business name and address (matching your Seller Central account)
  • Your VAT number if registered
  • Buyer name and shipping address from the Amazon order
  • Buyer VAT number if provided (for B2B sales)
  • Amazon order ID — the 17-character ID (e.g., 123-1234567-1234567)
  • Invoice number — your own sequential number, not Amazon's order ID
  • Issue date — must be within Amazon's required timeframe (typically 1 business day after dispatch)
  • Line items — product description, ASIN or SKU, quantity, unit price excluding VAT, line total excluding VAT
  • VAT rate, VAT amount, and total including VAT
  • Shipping charged separately — if shipping is a billable line item

VAT Rules for Amazon Sellers

VAT compliance for Amazon sellers is complicated by warehouse locations and cross-border thresholds:

  • Domestic sales (EU): Charge your local VAT rate (19% DE, 20% FR, 21% ES/NL, 22% IT) and show the breakdown on the invoice
  • EU OSS (One-Stop Shop): For B2C cross-border sales above €10,000 total threshold, charge the buyer's country VAT rate and file via OSS
  • EU B2B (reverse charge): Buyer's VAT number provided → zero VAT, both VAT numbers on invoice, add "VAT reverse charge — Article 196 EU VAT Directive" to notes
  • UK sales: 20% VAT for UK buyers if registered; Amazon collects VAT on imports under £135
  • US sales: Sales tax is collected by Amazon (marketplace facilitator laws) in most US states — your invoice typically shows the price excluding tax

Frequently Asked Questions

Does Amazon issue invoices for me?

For most third-party (FBA and FBM) sales, no — Amazon does not issue VAT invoices on your behalf. The exception is Amazon-managed VAT services (VAT Calculation Service, VCS) which some EU sellers opt into. For US sales, Amazon does collect and remit sales tax under marketplace facilitator laws, but the underlying invoice is still your responsibility for B2B buyers.

How quickly must I issue an invoice after an order?

Amazon Business sellers must upload an invoice within 1 business day of dispatch. EU tax law typically requires invoices to be issued within 15 days of the supply. To stay compliant, issue and upload the invoice the same day you ship.

Can I include the Amazon order ID as my invoice number?

It is better to use your own sequential invoice numbering (e.g., INV-2025-0042) and reference the Amazon order ID in a separate field or in the notes. Your own numbering must be sequential for tax record-keeping — Amazon order IDs are not sequential.

Do I need to issue a separate invoice per order?

Generally yes — each order is a separate taxable supply with its own date and VAT treatment. Some sellers issue monthly consolidated invoices for repeat B2B buyers; this is allowed in most jurisdictions if both parties agree.

Can I upload the PDF to Amazon Seller Central?

Yes. Amazon Business allows you to upload PDF invoices via the Manage Orders page or via the Invoice Uploader (bulk upload). Once uploaded, the buyer can download it from their Amazon account.
