What Graphic Designers Invoice For
- Logo design — concepts, refinements, final files in multiple formats
- Brand identity packages — logo + style guide + collateral
- Print design — brochures, business cards, packaging, posters
- Digital design — social media graphics, ad creatives, presentation templates
- Licensing fees — for extended use, broadcast rights, or buyouts
- Print production management — pass-through printing costs
- Stock and font licences — passed through at cost
Revisions and Scope
Scope creep is the single biggest cause of unpaid or disputed invoices in graphic design. Protect yourself by:
- Stating revision rounds clearly — e.g., "Logo design — 3 concepts, 2 revision rounds included"
- Charging for additional revisions as separate line items — "Additional revision rounds — 2h @ €80/h"
- Defining "revision" — is it a tweak to an existing concept, or a new direction? Restate this in the engagement letter.
- Itemising file formats delivered — AI, EPS, SVG, PNG, JPG. Additional formats outside scope are extra.
Licensing on the Invoice
For commercial work, the licence granted is part of what the client is paying for. Make it explicit:
- Non-exclusive licence — client uses, designer retains rights — included in base fee
- Exclusive licence — only client may use the work — premium fee
- Buyout / full assignment — client owns all rights including resale — significant premium
- Extended licence — broadcast, merchandise, or resale rights — separate licensing line
State the licence on the invoice or in the notes — this prevents future disputes about usage rights.
Frequently Asked Questions
Should I take a deposit?
Yes. 30–50% upfront is standard in graphic design. It filters out uncommitted clients and protects your time. Issue a deposit invoice when work begins, and the final invoice on delivery deducting the deposit.
Who owns the design — me or the client?
Depends on the licence you grant on the invoice. By default, the designer owns copyright (with the client receiving a licence to use). For exclusive ownership / buyouts, the client pays a premium. State this clearly on the invoice or in your terms.
How do I bill for stock and fonts?
Two approaches: pass-through (charge the client the supplier price as a line item) or include in scope (cover from your fee). Pass-through is more transparent and cleaner. Get receipts for everything passed through.
What format should I deliver final files in?
Industry standard is AI, EPS, SVG, PNG (transparent), and JPG at minimum. Specify exactly what is included on the invoice. Additional or non-standard formats (e.g., PSD source files, vector source for a competing designer) are typically extra.
