Consultant Invoice Requirements

Consulting invoices differ from standard service invoices in their level of formality and the specific information corporate clients require:

  • Engagement reference — statement of work (SOW) or contract number
  • Billing period — the dates covered by this invoice
  • Rate and unit — daily rate (e.g., "5 days @ €1,500/day") or hourly
  • Project or workstream name — clients often track costs by project code
  • Your company or trading name, registered address, and tax ID
  • Client's purchase order (PO) number — mandatory for most corporate accounts payable systems
  • Bank details — IBAN/SWIFT for international transfers

Day Rate vs Retainer vs Project Billing

Day rate: The most common model for management and strategy consultants. Invoice weekly or monthly for the number of days worked. Easy to audit and align with corporate timesheets.

Monthly retainer: Fixed fee for a defined number of days or outputs per month. Provides income stability for the consultant and budget predictability for the client. Invoice at the start of each month.

Project-based fee: Fixed price for a defined deliverable — a report, a strategy, an implementation. Invoice in milestones: 30–50% upfront, remainder on delivery. Suitable when scope is well-defined.

Invoicing Corporate Clients

Large organisations have strict accounts payable processes. Increase your chances of being paid on time:

  • Always obtain a PO number before submitting an invoice — many finance teams will simply reject invoices without one
  • Match the legal entity exactly — the company name on the invoice must match the contracting entity, not just the brand name
  • Submit to the right inbox — many companies have a dedicated AP email (e.g., [email protected])
  • Know the payment cycle — many enterprises run fortnightly or monthly payment runs; missing a cycle adds 2–4 weeks to your wait

VAT and Tax for Consultants

Consulting services are taxable services in most jurisdictions. Critical points:

  • EU consultants invoicing EU businesses: For cross-border B2B, use the reverse charge mechanism. Include both VAT numbers and state "Reverse charge applies — Article 196 EU VAT Directive". The client accounts for the VAT in their country.
  • EU consultants invoicing non-EU clients: Export of services — typically zero-rated. Add a note confirming this and retain evidence that the client is outside the EU.
  • UK consultants: VAT at 20% for UK-based clients. For overseas B2B clients, most consultancy services are zero-rated for UK VAT.

Frequently Asked Questions

Should I invoice in advance or in arrears?

Retainers are typically invoiced in advance (at the start of the period). Day-rate and project work is invoiced in arrears (after work is completed). For large engagements, a 30–50% upfront payment reduces your exposure. Establish the billing cadence in your contract before the engagement starts.

What if a corporate client insists on 60 or 90-day payment terms?

You can accept longer terms but factor in the cost of capital. Alternatively, offer an early-payment discount (e.g., 1% if paid within 14 days). Use the notes field to include payment terms and any early-payment incentives.

Do I need to show my consulting firm registration number?

If you operate as a limited company, LLC, or GmbH, include your company registration number and registered address. For sole traders, your tax ID (Steuernummer, UTR, EIN) is sufficient. Some clients — especially public sector — require proof of registration before they can onboard a supplier.
