What Is a VAT Invoice and Who Needs One?

A VAT (Value Added Tax) invoice is a specific type of invoice required when a VAT-registered business sells goods or services. It must include certain legally mandated fields beyond a standard invoice:

  • Your VAT registration number (e.g., DE123456789, GB987654321)
  • The VAT rate applied (e.g., 19%, 20%, 21%, 22%)
  • The VAT amount charged (calculated separately from the net amount)
  • The client's VAT number (required for B2B EU cross-border transactions)
  • Reverse charge statement (for applicable B2B EU cross-border sales)

If your business turnover exceeds the VAT registration threshold in your country, you are legally required to issue VAT invoices for all B2B and most B2C transactions.

EU VAT Invoice Requirements

EU VAT invoices must comply with the EU VAT Directive. Required fields include:

  • Sequential invoice number
  • Date of invoice and date of supply (if different)
  • Supplier's name, address, and VAT number
  • Customer's name, address, and VAT number (for B2B)
  • Description of goods or services supplied
  • Quantity and unit price
  • Net amount, VAT rate, VAT amount, and gross total
  • Reverse charge note where applicable: "VAT reverse charge — customer to account for VAT"

Reverse Charge Mechanism for B2B EU Transactions

When you sell services to a VAT-registered business in another EU country, the reverse charge mechanism applies:

  • You do not charge VAT on the invoice
  • The customer accounts for VAT in their own country
  • Your invoice must show the customer's VAT number and a reverse charge statement
  • Example statement: "VAT reverse charge — Article 196 EU VAT Directive"

Frequently Asked Questions

Do I need a VAT number to use this tool?

No. You can create invoices with or without VAT numbers. If you are VAT-registered, add your VAT number in Settings so it appears on every invoice. If you are not VAT-registered (e.g., below the threshold or using a small business exemption), simply leave the VAT fields empty.

How do I handle the reverse charge on invoicePrivate?

Set the VAT rate to 0% for the line items, add your client's VAT number to the invoice, and include a reverse charge note in the invoice notes field (e.g., "VAT reverse charge — customer to account for VAT to their tax authority"). The net amount will appear without VAT in the PDF.

Can I create zero-rated or VAT-exempt invoices?

Yes. Set the tax rate to 0% for zero-rated supplies. For fully exempt supplies (where VAT does not apply), remove the tax line and add an exemption note (e.g., "Supply exempt from VAT under Article 132 EU VAT Directive") in the notes field.
