How Nutritionists Charge
- Initial consultation — typically 60–90 minutes at a higher rate than follow-ups
- Follow-up sessions — 30–45 minutes at a standard rate
- Multi-session programs — 3, 6, or 12 month coaching packages, prepaid or billed monthly
- Meal plans and resources — sold as standalone digital deliverables
- Corporate wellness — workshops, seminars, on-site clinic days
- Group programs — per-participant fees for cohort-based coaching
Insurance and Professional Body Numbers
Clients claiming back from private health insurance need to see your professional registration. Include your registration number with the relevant body — BANT, AfN, ANutr, RNutr, RD (UK), R.D. (US), or your country's equivalent — and any clinic insurance details. Some insurers require:
- A diagnosis code or reason for consultation (provided by the client's GP)
- Confirmation that payment was received
- Your professional body registration number visible on the invoice
Programs and Prepaid Packages
Multi-session programs are typically prepaid. The invoice should clearly state:
- Number of sessions included
- Validity period (e.g., must be used within 6 months)
- What's included (consultations, meal plans, email support, follow-up tests)
- Cancellation and refund policy
- Total fee and any deposit/instalment structure
Frequently Asked Questions
Is nutritionist work VAT-exempt?
In the UK and parts of the EU, registered dietitians (RD) providing medical nutrition therapy may qualify for VAT exemption. Nutritionists, health coaches, and general wellness consulting typically do NOT qualify — VAT applies if you are above the threshold. Check your jurisdiction.
How do I invoice for a program that spans several months?
Two common approaches: (1) Invoice the full program upfront — simple and clean for cash flow. (2) Invoice monthly — better for clients with budget constraints. Whichever you choose, state the full program scope and any non-refundable deposit on the first invoice.
Should meal plans be a separate line item?
Yes if they are an upsell or sold separately. Keep them as a separate line so clients see the value being added. If meal plans are bundled into a program fee, mention them in the description but no separate line is needed.
Do online consultations need a different invoice?
No — same format. Mention the session was conducted online if useful for client records. Tax treatment is the same.
