Common Billing Models

  • Single session fee — flat rate per 60 or 90 minute session
  • Package or block booking — discount for prepaid sessions (e.g., 5 sessions for the price of 4)
  • Sports / physiotherapy referrals — invoiced to physio practices or sports clubs
  • Mobile / on-site massage — session fee plus travel surcharge
  • Corporate wellness contracts — day rate or hourly rate for on-site events
  • Insurance-reimbursed sessions — invoiced to the client who claims back from their insurer

Insurance-Friendly Invoice Fields

Clients claiming back from health insurance need an invoice that meets their insurer's requirements. Include:

  • Your full name and professional registration / membership number (e.g., CNHC, FHT, GCMT, AMTA)
  • Treatment type — "Deep tissue massage", "Sports massage", "Lymphatic drainage"
  • Session date and duration
  • Patient/client name and address
  • Fee per session and total paid
  • Confirmation of payment received — many insurers require this for reimbursement
  • Your contact details for insurer verification

Tax Notes

In most EU/UK jurisdictions, complementary therapy services may be VAT-exempt if performed by a registered health professional — but the rules are narrow. Sports massage and wellness massage often do not qualify for the exemption. Check your local rules. In the US, massage therapy services are generally not subject to sales tax, but state rules vary.

Frequently Asked Questions

Do I need to issue receipts even for cash payments?

Yes — issue a receipt for every transaction, especially cash. This protects you against audit questions and gives clients documentation for insurance claims. Keep a copy for at least 5 years.

How do I bill for packages?

Two options: invoice the full package upfront when prepaid (clean and simple), or invoice per session with a discount applied. The upfront approach is cleaner — the package is a single taxable event at purchase date.

What about cancellation fees?

State your cancellation policy on your booking confirmation and re-state on the invoice notes. If a client no-shows, you can invoice the cancellation fee separately — this is still taxable service income.

Can I invoice for travel time?

For mobile work, yes — add a "Travel surcharge" line item with a fixed amount or per-mile rate. Disclose this on your booking page so it is not a surprise.
